Professorial appointments and evaluations are a critical aspect of the university's success and reputation. The University has created a new Office of Professorial Affairs to improve its ability to identify, attract and retain top academic talent to our faculties and interdisciplinary centres and build up a robust and strategic framework for planning and managing professorial appointments and evaluations. The mandate of the new office is to support and coordinate the planning and full life cycle of academic recruitment and promotions in interaction with all stakeholders, and to further develop the processes for these and other professorial affairs activities.

Your Role...

As team leader of the Office of Professorial Affairs, you will work with the senior management and the HR department to set up this new function within the University. You will manage the development, revision and deployment of professorial recruitment strategies for departments and centres and ensure a robust yet agile procedural framework to streamline appointment and evaluation processes.

You will bring specific expertise and be directly responsible for:

  • Confirming the workplan for the set-up of the office, by consulting stakeholders (ex. senior management, the HR department), benchmarking with similar functions in other institutions, analysing current activities and audit recommendations
  • Coordinating the drafting and reviews of key appointment and evaluation policies and procedures with the top management, internal audit HR department and across services, and ensuring updates of major policies, procedures, tools, and relevant guidelines and templates
  • Providing key insight and following up on the academic recruitment strategy and implementing yearly planning processes
  • Working alongside deans, directors, the HR department, and recruitment committees to ensure strategy is translated into high-quality recruitment procedures, including pristine document preparation (professorial profiles, recruitment reports) for Board-level discussions
  • Overseeing the preparation of rectorate and Board level presentations and public informational documents
  • Managing, coaching, and motivating a three-person team in charge of coordinating key procedural steps in appointment and evaluation processes
  • Generally ensuring the quality of the team’s deliverables, the set-up of reporting mechanisms, and the execution of projects
  • Being responsible for troubleshooting and liaising with outside counsel on complex cases requiring special attention in appointment and evaluation processes
  • Fostering collaboration with the HR department to achieve shared onboarding objectives
What we expect from you…
  • Ability to act as trusted advisor and sparring partner to top management
  • PhD or equivalent by work experience is a must
  • Significant experience in an academic setting (University or research institute)
  • Several years’ experience working on themes related to academic or institutional strategy/governance or HR strategy
  • Experience in managing, developing, and motivating teams, especially in the creation of a new function
  • Fluency in English and French (in written and oral) are mandatory. Good understanding of German and/or Luxembourgish is a strong asset
  • Exceptional organizational acumen, ability to communicate and adapt presentation style to different audiences
  • Adept project management capabilities, and very good analytical and problem-solving skills with orientation detail
  • Keen understanding of process design and development of fit-for-purpose tools
  • Team player, able to work in an international, multidisciplinary and multicultural environment
